We try to keep everything about DiveZen simple and honest — including how we handle your personal information.
This policy applies to our website and to enquiries and bookings for DiveZen retreats. It works together with our Terms & Conditions.
01Who We Are
DiveZen Retreats organises liveaboard retreats at Sataya Reef in the southern Red Sea, Egypt. When you share personal information with us, we are the ones responsible for looking after it — the “data controller” in legal terms.
We handle personal data in line with applicable data-protection laws, including the GDPR for guests from the EU/EEA. For anything privacy-related, the quickest way to reach us is [email protected].
02The Information We Collect
We only collect what we genuinely need to plan and run your retreat:
- Contact details — your name, email address, phone or WhatsApp number, and whatever you choose to tell us in a message. The contact form on this site opens your own email app — nothing is stored on the website itself.
- Booking details — number of guests, preferred dates and, closer to departure, the passport details required for boat permits in Egypt.
- Health information — medical conditions, allergies, medications, dietary needs, pregnancy or physical limitations you share with us before the retreat (see section 4 of our Terms & Conditions). You provide this with your explicit consent, and it is used only to keep you safe.
- Payment records — deposits and payments needed to confirm your booking. This website has no payment system, so we never see or store your card details here.
- Photos and videos — taken during the retreat, as described in section 9 of our Terms & Conditions.
03How We Use It
Every piece of information above has one job:
- To reply to your messages and help you plan your trip
- To organise the retreat and run it safely — health information is shared only with the hosts, guides and crew who genuinely need it
- To send you booking confirmations and practical pre-trip information
- To meet legal requirements, such as trip permits and basic accounting
- To share the spirit of the retreats through photos and videos — unless you ask us not to, which you can do at any time
04Cookies & Analytics
This website sets no cookies and uses no analytics or advertising trackers — which is why you don't see a cookie banner.
The only third parties involved in showing you this site are the content networks that serve our fonts (Google Fonts) and styling library (jsDelivr, for Bootstrap). Like any web request, they receive your IP address in order to deliver the files; neither sets cookies through our site.
Links to Instagram, Facebook and WhatsApp lead to services run by Meta — once there, their own privacy policies apply.
05Who We Share It With
Your information stays within a small circle:
- The hosts, guides and crew of your retreat — only what they need for your safety and care
- The boat operator and local authorities in Egypt, where required for marine-park permits and port formalities
- The services we use to communicate — Google (Gmail) for email and Meta (WhatsApp, Instagram, Facebook) when you contact us there
That's the whole list. We never sell or rent personal information, and we never share it for advertising.
06Where Your Data Is Kept
Your information is handled by the small team that organises the retreats, and the trips themselves take place in Egypt — so the details needed to run your trip travel with us there. The communication tools we use, such as email and messaging services, may store data on servers in other countries, including the EU and the US.
Wherever it goes, the same rules apply: the minimum necessary, handled confidentially, deleted when no longer needed. Guests from the EU/EEA keep all the rights described in section 8.
07How Long We Keep It
- Messages and enquiries — for as long as we're helping you, then deleted
- Booking and payment records — for as long as accounting and legal rules require
- Health information — only until your retreat ends, then deleted
- Photos and videos — for as long as we use them in our marketing, and removed whenever you ask
08Your Rights
At any time, you can ask us to:
- Tell you what information we hold about you
- Correct anything that is wrong or outdated
- Delete your information
- Stop using it for a particular purpose, or withdraw a consent you gave earlier
- Send you a copy of the information you provided
Just write to us at [email protected] — we'll answer as quickly as we can. If you are in the EU/EEA and feel we haven't resolved something, you can also complain to your local data-protection authority.
09Security
Access to your information is limited to the small team that organises your retreat. Health details are treated as strictly confidential and are never published anywhere.
No website or email service can promise absolute security, but we deliberately keep the amount of data we hold small — the less we store, the less can go wrong.
10Children
Our website and retreats are designed for adults. If you book a family trip, we only collect children's details from a parent or guardian, and we use them solely to organise the trip.
11Changes to This Policy
If we change how we handle personal information, we will update this page and the “last updated” date at the top. If a change matters for guests with upcoming bookings, we'll tell them directly.
